PLANNING

  • Assemble a group of folks to plan (partially complete)
  • Pick date
  • Find location
  • Schedule
    • Develop list of presenters/topics
    • Decide on start and end times
    • Decide whether to hold/encourage an "after party" of sorts
    • Develop rough schedule for the day

 

PROMOTION & Communication

  • Set up podcampharrisburg.com - I'm available after 6pm most evenings and all day weekends to sit down with someone or a group to get this up and running. Just twitter me (@alorenz) when a good time for everyone is and I can check my schedule. ~Andrew

FINANCIAL

  • Develop budget
    • Create list of necessary expenses
    • Create list of "wants" (discretionary expenses)
    • Make decisions on registration fees and/or meal fee(s)
    • Identify sponsorship needs/opportunities
  • Secure sponsors
  • Find company/organization willing to serve as a financial "pass through" for tax/legal purposes (I work in a financial company. Lots of accountants.  I can start asking around @bpolensky)

 

LOGISTICS

  • Location
    • once location is set, scout it out in person
    • figure out where stuff will go (workshop rooms, registration, food, etc.)
    • figure out where participants can/should park
    • provide driving/parking directions to participants
    • Insurance
    • Security
    • Wireless access
  • Food
    • Decide on how to do lunch - if we cater (something simple like sandwiches), secure caterer
    • Secure sponsor and/or vendor for a.m. coffee and p.m. snacks/soda
  • Registration
    • Volunteers to "man the table"
    • Nametags - look into specific name tag sponsors. Blip.tv has sponsored them at some other PodCamps.
    • Sign-ups for various workshops/presentations

I'd say not to provide lunch. I've been to 2 podcamps and food is never provided. It's an expense we don't need (in my humble opinion)

I think we should probably address the lunch issue down the road. If we can afford to provide it, great. Podcamp Pittsburgh did and it was very yummy and super convenient (less time needed for break, etc.) If we can't, life goes on. It's not something for us to get hung up on now, however. We'll see if we've got the cash to do it closer to the conference, whenever that is.
